This policy explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and the choices you have. It covers bicyclebroker.ca, our forms, email, phone and live chat, the insurance we arrange for you, and bike insurance from sundays, which we distribute in Canada.
We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, where they apply, the Personal Information Protection Act of British Columbia and the Personal Information Protection Act of Alberta.

What We Collect
- Contact details: name, email, phone number and mailing address.
- Information for a quote or policy: what you tell us so we can arrange insurance. Depending on the coverage, this can include property and building details, business activities, revenue and payroll, number of staff, event details, your insurance and claims history, and whether an insurer has declined or cancelled your insurance. It also includes documents you upload, such as current policies, waivers, certifications and photos.
- For home and condo insurance: the owner's date of birth, the names of other owners, your mortgage lender, and whether you agree to a soft credit check.
- Claims: your policy number, what happened, and the date and value of the loss.
- Your conversations with us: emails, calls, live chat messages and form submissions.
- Website and device information: pages you visit, links you click, your device and browser, your approximate location (country or city, from your IP address), and how you reached us, including campaign tags in links. Most of this is collected only if you agree to cookies (see Cookies and Similar Technologies).
- Information from others: insurers and underwriters, partners whose products we offer, associations and partners who refer you, and public sources such as business registries.
We don't take card payments on our site. Premium payments go through Kix Payments, and we don't receive your full card number.
If you give us information about someone else, such as a co-owner, an employee or an event participant, please make sure they know you're sharing it and why.
Why We Use It
- To answer your questions and requests.
- To understand your insurance needs, get quotes from insurers and recommend coverage.
- To arrange, service and renew your policies, and to help with claims.
- To check identity, prevent fraud and keep our website and forms secure.
- To meet our legal and regulatory obligations as a licensed broker.
- To send you marketing email, if you've agreed or the law allows it (see Email).
- To understand how people use our website and emails, so we can improve them.
If we want to use your information for a new purpose, we'll tell you and, where the law requires it, ask for your consent first.
Your Consent
When you send us a form, you agree to the uses described in this policy by ticking the privacy box. When you call, email or chat with us, we use what you share to help with your request. Marketing email and non-essential cookies are separate choices. You can say no to them and still get a quote.
Soft credit checks. Some insurers ask for a soft credit check for home and condo insurance. We ask for your consent on the form and pass it to the insurer. The insurer runs the check under its own process. We don't receive the result or your credit information. A soft check doesn't affect your credit score.
Who We Share It With
We don't sell personal information. We share it only as follows:
- Insurers and underwriters, such as Aviva, Trisura and Tokio Marine Canada, and the others we approach for your quote, along with their claims adjusters. They need it to quote, issue, renew and handle claims on your policy. Each has its own privacy policy, and we can send you a copy.
- Partners whose products you choose, such as sundays for bike insurance (see the next section) and TuGo for travel insurance. When you buy on their site, their terms and privacy policy apply too.
- Service providers that work for us, listed under Service Providers and Where Your Information Is Stored. They can use your information only to provide their service to us, and we require them by contract to protect it.
- Regulators, courts and law enforcement, where the law requires or allows it.
- A buyer or successor if our business is sold or merged, under a confidentiality agreement.
Bike Insurance From sundays
Bike insurance from sundays is distributed in Canada by Bicycle Broker Inc. and underwritten by Tokio Marine Canada. The sundays website, sundaysinsurance.ca, is run by the sundays team, part of the Two Three Bird group, and this policy applies to it.
When you get a quote or buy a policy on sundaysinsurance.ca, the information you enter, such as your contact details and details about your bike, goes to:
- the sundays platform, to give you a quote, take your purchase and manage your policy;
- Tokio Marine Canada, to issue your policy and handle claims;
- us, as your broker, to service your policy and answer your questions.
Some of this information is processed outside Canada, including website analytics in the United States. Questions or requests about your sundays information go to our Privacy Officer.
Service Providers and Where Your Information Is Stored
Some of our service providers store or process information outside Canada. While it's there, the courts, law enforcement and national security authorities of that country may be able to access it under their laws.
- HubSpot (customer records, live chat, website visit tracking): United States.
- makeforms (website forms and file uploads): Canada.
- MailerLite (newsletters): European Union and United States.
- Google (website analytics and Tag Manager, reCAPTCHA spam protection, business email and file storage): United States and other countries.
- Netlify (website hosting): United States.
To get written information about how our service providers outside Canada handle personal information, or to ask about it, contact our Privacy Officer.
Cookies and Similar Technologies
When you first visit, a banner asks what you're comfortable with: Accept All, Reject All or Manage Preferences. Anything beyond what's strictly necessary loads only if you agree.
- Strictly necessary (on, because the site needs them to work): remembers your cookie choice, protects our forms from spam, and keeps your answers while you fill in a form. Tools: our cookie banner, Google reCAPTCHA and makeforms.
- Analytics (off until you agree): shows us which pages people visit and which links they click. Tools: Google Analytics and Google Tag Manager.
- Marketing (off until you agree): recognizes return visitors, connects website visits to enquiries, and runs live chat. Tool: HubSpot.
We don't use advertising pixels on our site.
You can change your choice at any time. Clear your browser's cookies for bicyclebroker.ca and the banner will ask you again. Live chat runs on HubSpot, so it appears only if you accept marketing cookies. You can reach us by phone or email instead.
We send marketing email, such as our newsletter, only to people who have opted in, or, as Canada's anti-spam law (CASL) allows, to people who have bought insurance through us in the past two years or whose policy with us ended in the past two years.
We don't use a claim or a service request as a reason to send you marketing. Every marketing email says who it's from and has an unsubscribe link, and we act on unsubscribes within 10 business days.
When you ask us for a quote, our brokers reply by email about that request.
Our emails record whether they're opened and which links are clicked, so we can see what's useful.
How Long We Keep It
We keep personal information only as long as we need it for the reason we collected it, or as long as the law and our regulators require.
- Client files: at least 7 years after your last policy with us ends, so we can help with claims and meet our record-keeping obligations.
- Quote requests that don't go ahead: as long as we need them to follow up on your request and meet our record-keeping obligations.
- Website analytics data: up to 14 months in Google Analytics, and no longer than we need it in our other tools.
When we no longer need information, we delete it or make it anonymous.
How We Protect It
We use safeguards that match how sensitive the information is. Access is limited to people who need it, connections to our website are encrypted, and we require our service providers to protect it too. No system is completely secure.
If a breach creates a real risk of significant harm to you, we'll tell you and the privacy regulators as the law requires, and we keep a record of every breach.
Please don't send sensitive documents by regular email. Use the upload on our forms, or call us.
Your Choices and Rights
- See your information: ask what we hold about you and how we've used it.
- Correct it: tell us if something is wrong or out of date.
- Withdraw consent: you can, subject to legal or contract limits. If you do, we may not be able to quote or service your insurance, and we'll explain what that means.
- Ask us to delete it: we will, unless the law or our regulators require us to keep it, or we need it to service a policy or claim.
- Unsubscribe: use the link in any marketing email, or contact us.
- Cookies: clear your browser's cookies for our site to make a new choice.
To make a request, contact our Privacy Officer. We may ask you to confirm your identity. We'll respond within 30 days.
If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada (priv.gc.ca), the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca) or the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca).

Our website and services are for adults. We don't knowingly collect information online from anyone under 18, except where a parent or organization provides it to arrange coverage (for example, on an event waiver).

Our site links to other sites, including sundays, TuGo, Kix Payments, LinkedIn and Instagram. Their own privacy policies apply when you use them.

When we update this policy, we'll post the new version here with a new effective date. If a change affects how we use information you've already given us, we'll tell you directly.
